Consultant Scheduling Software for Coaches and Advisors.
Five emails to book one call? One link.
Prospects and clients pick the format and the time themselves — from your real availability. In the coaching template, the discovery call is set up without a payment step, the slot is blocked instantly, and you hear about it from the confirmation instead of another scheduling thread.
Booking the call shouldn't be another conversation
Your work is the conversation. But before it happens, you're stuck in a different one: the one about the appointment.
The problem isn't your calendar. The problem is that only you can read it.
Sunday, 9:40 pm.
A prospect writes through your contact form: "Do you have anything free this week?" You read it Monday between two sessions. By the time your reply with three time suggestions goes out, it's Tuesday.
Between two sessions.
Ten minutes of break. Four emails, two of them scheduling threads. You suggest slots you believe are free — and hope they still are on Thursday.
The fourth email.
"Thursday at 2 pm works for me." Except someone else has taken that slot by now. A simple request has turned into another round of scheduling — right before a discovery call, where there's no established relationship yet.
Your calendar answers — even while you're in session
You share one link: in your email signature, on your website, in your profile. From then on, scheduling runs without you — by your rules.
-
1
Choose a format. Prospects see your formats with their duration: discovery call, 1-on-1 coaching, deep dive. In the coaching template the discovery call is set up without a payment step — booking takes a name and contact details.
-
2
Choose a time — from real availability. Slotara calculates open time slots from your weekly schedule, your existing appointments and your buffers — freshly on every request. What's shown is genuinely free.
-
3
Slot blocked instantly. With the booking, the time slot is occupied in your calendar. No double booking, no "is that time still free?" — even if two people book at once.
-
4
You hear about it from the confirmation. The appointment is in your Slotara calendar, and your client receives the confirmation with a calendar entry (.ics). Your only task in all this: none.
After a deep dive, the next minutes are yours
A discovery call takes 30 minutes, a deep dive 90 — and afterwards you need time for notes and a clear head for the next conversation. In Slotara, every format is its own service with its own duration and its own wrap-up time. Buffers flow into the slot calculation: whatever appears bookable leaves your wrap-up untouched.
You define your coaching hours in your weekly schedule — Monday to Friday with a fixed lunch break, or sessions in the morning and focus time in the afternoon. Multiple windows per day are possible too. Bookings only happen inside these windows; holidays and trainings go in as absences, and those times disappear from booking.
Coaching windows, formats and wrap-up buffers — the slot calculation knows all three.
A clear run-up to every appointment — and transparency when someone doesn't show
-
1
Confirmation with calendar entry. The confirmation goes out right after booking — with an .ics attachment for Outlook, Apple or Google Calendar. The appointment lives in your client's calendar too, not just yours.
-
2
One reminder, your timing. Slotara reminds by email before the appointment — exactly once, with the lead time you set (default: 24 hours). No reminder spam, no manual follow-up.
-
3
Cancelling with a deadline. Up to your deadline, the appointment can be cancelled self-service. After that, the self-service cancellation window ends. You set the deadline for your business — 24 or 48 hours before the appointment, for example.

When someone doesn't show. You mark missed appointments as such and see them in your reporting. You learn where appointments fall through — instead of guessing.
Every request lands with the right person
As a solo coach, everything stays with you — your link, your calendar, done. If there are several of you, you define who offers what: business strategy, systemic coaching, NLP. Every service is linked to the people qualified to deliver it.
When booking, prospects see who is available for the chosen format — and pick the person they want, or simply the next free appointment. Existing clients book their trusted contact directly; the availability they see is that person's real availability.
Start with a prepared coaching template
You don't start from zero: the coaching template ships with typical formats including duration and wrap-up buffers — from discovery call to deep dive — plus matching focus areas and a coaching weekly schedule with a lunch break. Everything is a starting point, nothing is fixed: you adapt formats, times and buffers to the way you work instead of inventing them from scratch. Then you share your booking link — in your signature, on your website, in your profile.
Practice room, office or on the road — where the conversation happens is up to you. Locations with their own team are available depending on your plan.

Common questions from coaches and consultancies
Yes. Services without payment enabled are booked without a payment step — prospects just pick the format and the time and leave their contact details. In the coaching template, the discovery call is already set up that way.
